Quickstart Guide

Get up and running with Headlands in 10 minutes. Learn the basics of voice capture, AI advisors, and workflows.

This guide will walk you through the essential features of Headlands. By the end, you'll have captured your first voice note, chatted with an AI advisor, and set up a simple workflow.

Prerequisites

Before you begin, make sure you have:

  • A Headlands account (sign up at headlands.ag)
  • A modern web browser (Chrome, Safari, Firefox, or Edge)
  • A microphone for voice capture (built-in is fine)

Step 1: Capture Your First Voice Note

Voice capture is the fastest way to record observations while you're out in the field.

  1. Open Headlands and navigate to the Today screen
  2. Tap the microphone button (orange floating button in the bottom right)
  3. Speak your observation - for example: "Checked the north field today, corn is about knee high, looking healthy. Noticed some aphids on the edges."
  4. Tap stop when you're done
  5. Review the AI interpretation - Headlands automatically extracts key information like field names, crop observations, and issues

The AI will categorize your capture and suggest relevant actions. You can approve, edit, or discard the interpretation.

Step 2: Chat with an AI Advisor

AI Advisors are specialized assistants that can answer questions about your operation.

  1. Navigate to Advisors from the sidebar
  2. Choose an advisor - start with the General Farm Advisor for broad questions
  3. Ask a question - try something like: "What's the best spray window for corn herbicide this week?"
  4. Get personalized insights - the advisor considers your location, current weather, and operational data

Advisors have access to your farm's knowledge base, so they can provide contextual recommendations specific to your operation.

Step 3: Set Up Your First Workflow

Workflows are autonomous agents that monitor conditions and take action on your behalf.

  1. Navigate to Workflows from the sidebar
  2. Click "Add Workflow" and browse the catalog
  3. Select "Daily Farm Brief" - this is a great starter workflow
  4. Configure the workflow:
    • Set the time you want to receive your daily brief
    • Choose your notification method (push, email, SMS)
    • Select what data to include (weather, tasks, equipment status)
  5. Activate the workflow by toggling it on

The Daily Farm Brief will now run every day at your specified time, gathering relevant information and sending you a summary.

Step 4: Add Your First Field

Building your knowledge base helps Headlands provide better insights.

  1. Navigate to Knowledge > Fields from the sidebar
  2. Click "Add Field"
  3. Draw the field boundary on the map or enter coordinates
  4. Add field details:
    • Field name
    • Current crop
    • Soil type (optional)
    • Zone assignments (optional)
  5. Save the field

Once you have fields in your knowledge base, voice captures will automatically link to them when you mention field names.

Common Questions

How does voice capture work offline?

Headlands is a Progressive Web App (PWA) that works offline. Voice captures are stored locally and automatically sync when you regain connectivity. See our Offline Guide for details.

What data do AI Advisors have access to?

Advisors can access your organization's knowledge base (fields, equipment, cattle), recent captures, and task history. They don't have access to other organizations' data. See the Memory System for more details.

How are workflows triggered?

Workflows can be triggered by schedules (cron), webhooks, threshold monitors, manual activation, or incoming messages (WhatsApp/Telegram). See Triggers & Conditions for the full list.
